Smart Stock Privacy Policy

Niyu Smart Stock is private by design. Forecast payloads are processed and then deleted, your business data is never stored permanently or used to train our models, and we never connect to your Odoo.

This policy covers the Niyu Smart Stock AI inventory module and its forecasting service only. See also the Smart Stock Terms of Service and Refund and Cancellation Policy. For all other Niyu Labs products, the site-wide Privacy Policy applies.

1. About this policy

This Privacy Policy explains how Niyu Labs ("Niyu Labs", "we", "us", or "our"), based in India, handles data in connection with the Niyu Smart Stock AI inventory module and its forecasting service.

This policy applies only to Niyu Smart Stock. It does not cover any other Niyu Labs product.

2. The short version

We built Niyu Smart Stock to keep your business data private by design. In plain words:

We do not store your business data. When your Odoo asks for a forecast, it sends only the data needed to produce that forecast. We process it, return the result, and then permanently delete it.

We never connect to your Odoo ourselves, and we never store your Odoo address, database, or login details.

The only data we keep permanently is your account and contact details, your payment records, and usage information such as how many forecast requests, products, and warehouses your plan uses. This usage information does not contain your business data.

We never use your data, temporary or permanent, to train our models, and we never sell or rent it to anyone.

3. The data we collect, and why

Account and contact data: When you reach out to us or sign up, we collect your name and email. These are the details you first used to contact us. We attach them permanently to your API key so we can manage your account, process your payments, provide support, and follow up with you. This is our internal customer record.

Payment data: Payments for Paid plans are handled by our payment processor, Razorpay. We do not store your full card details. Razorpay processes and holds payment information under its own terms. We keep records of your payments and subscription status, linked to your account and API key.

Usage and telemetry data: We permanently store usage information tied to your API key, such as the number of forecast requests, the number of products and warehouses, and your plan limits and usage. We use this to operate the Service, manage your plan and limits, and improve the product. This usage information does not include your business data.

Forecast data: To generate a forecast, your Odoo sends us the data needed for that forecast, such as sales history, stock moves, and request for quotation details. This data is sent only when your Odoo requests a forecast. The Service never fetches data from your Odoo on its own. We process this data, return the forecast result, and hold it only for the short time needed to deliver the result to your Odoo, typically a few hours, after which it is permanently deleted. We do not retain it, we do not use it to train our models, and we do not sell or share it.

4. What we do not do

To be clear about the limits we set for ourselves:

We do not store your business data permanently.

We never access your Odoo system directly, and we do not store your Odoo URL, database, or credentials.

We do not use your data, whether the temporary forecast data or the data we keep permanently, to train our forecasting models.

We do not sell, rent, or trade your data, and we do not use it for advertising.

5. How we share data

We share data only where it is needed to run the Service:

with our forecasting service, to generate the forecast you requested,

with Razorpay, to process your payments, and

with Google Cloud, which hosts our infrastructure.

We do not share your data with anyone else, and we do not sell it.

6. Where data is processed

We host and process data using Google Cloud. The forecasting service runs in the United States, in the Google Cloud us-central1 region. By using the Service, you understand that the forecast data your Odoo sends is processed there before it is deleted.

7. How long we keep data

Forecast data: kept only for the short time needed to deliver the result, typically a few hours, then permanently deleted.

Account and contact data, payment records, and usage and telemetry data: kept while you are a customer and for as long as we need it for our records, support, and legal or accounting obligations. After that we delete it.

8. Our role, and a Data Processing Agreement

For the forecast data that your business sends, you are the controller of that data and we act as a processor on your behalf. We process it only to provide the forecast you asked for, as described above.

For your account, contact, payment, and usage data, we act as the controller.

9. Your rights

You can ask us to access, correct, or delete the personal data we hold about you, and you can ask questions about how we use it. To make a request, email info@niyulabs.com. We will respond within a reasonable time.

10. Security

We protect data with measures that include encryption in transit over HTTPS and TLS, access controls on our systems, and a design that keeps your business data only for as long as it is needed and then deletes it. We host on Google Cloud. No method of transmission or storage is completely secure, but we work to protect your data and to keep the amount we hold to a minimum.

11. International users

We process forecast data in the United States, as noted above. If you are in a region with specific data protection rules, such as the European Union or the United Kingdom, and you need a Data Processing Agreement or information about safeguards, contact us at info@niyulabs.com.

12. When you contact us or visit our website

When you email us or use a contact form, we collect the name and email you provide so we can reply and help you.

Our website may use basic analytics to understand traffic and improve the site.

13. Children

Niyu Smart Stock is a business product. It is not directed at children, and we do not knowingly collect data from children.

14. Changes to this policy

We may update this policy from time to time. When we do, we will post the updated version with a new date. Significant changes may also be notified by email to paid customers.
